Who to contact about your information
This notice covers information handled through The Waste Removal Company website and its enquiry channels. The website team is responsible for managing these enquiries. Contact hello@thewasteremovalcompany.co.uk or call 0141 483 7786 with a privacy question, request or complaint.
Where an enquiry is passed to a collection provider, you should be told who that provider is before a booking is agreed. That provider is responsible for explaining how it uses information for its own service, payments and required waste records. This notice does not replace the provider’s own privacy information.
Information used for quotes and collections
The website form asks for your name, telephone number and postcode. Some forms also ask what needs to be removed. Messages by email or WhatsApp may include your address, photographs, access instructions and preferred appointment time. We use the information you choose to send to understand and respond to the request.
Please avoid sending identity documents, bank details or photographs showing unrelated people, medical information or private paperwork. Where you contact us for someone else, share only the information needed and make sure you are entitled to do so. Our hosting and communication providers may also process technical information such as IP addresses, timestamps and delivery logs.
Purposes and lawful bases
We use enquiry details to answer questions, assess a job, prepare a quote and take steps at your request before a possible contract. Where you are the customer, these activities may rely on the contractual steps basis. For a business contact or someone arranging a collection for another person, necessary correspondence may rely on legitimate interests in responding to and organising the request.
Necessary record-keeping, security, complaint handling and establishing or defending legal claims may rely on legitimate interests or a legal obligation, depending on the purpose. Information needed for statutory waste or financial records may be retained by the service provider under its legal obligations. Marketing consent is separate from asking for a quote; submitting this form does not sign you up to a marketing mailing list.
Sharing and service providers
Enquiry details may be shared with the appropriate collection provider, including Dumpit Scotland where relevant, so that the requested job can be assessed and arranged. Only relevant contact and job information should be used for that purpose. Ask the website team which provider is handling your enquiry if this is unclear.
The website form sends submissions through Formspree. Emails are handled by email service providers, and messages you choose to send through WhatsApp are processed by WhatsApp under its own privacy arrangements. Hosting providers support delivery and security of the site. Information may also be disclosed where required by law or where necessary to resolve a complaint or legal claim.
International processing and retention
Some technology providers may process information outside the UK. The applicable transfer arrangements depend on the provider and service, including any adequacy decision or appropriate contractual safeguards. Contact us if you need information about the providers and safeguards relevant to your enquiry.
Enquiries should be kept only for as long as needed to answer the request, manage follow-up and resolve related issues. Booking and transaction records may need to be retained longer for applicable accounting, waste-record and legal obligations. Retention decisions take account of whether a job took place, whether a complaint remains open and any required record period. Ask us about the retention applying to your own information.
Cookies and website choices
The current website source does not add advertising pixels or analytics cookies. Hosting, security and external services may process technical data needed to deliver their services. Following a link to WhatsApp or submitting through Formspree involves those services and their privacy terms.
If optional tracking is introduced, its purpose and the available choices must be explained before it is used where consent is required. You can control cookies through your browser. The public enquiry pages do not make automated decisions about eligibility or pricing with legal or similarly significant effects.
Your rights and complaints
Depending on the circumstances, you can ask to access or correct your data, request deletion or restriction, object to processing or request a portable copy. Where processing relies on consent, you can withdraw it. Some rights have legal limits, including where records must be kept. We may need proportionate information to verify your identity.
Contact the website team first so your concern can be investigated. You can also complain to the Information Commissioner’s Office at ico.org.uk. Requests will be handled within the applicable legal time limits, with an explanation if an extension or exception applies.
